One-Time Events
One time events can be used to enable users to only order for a specific day. This feature can be used for special programs or 1 time events like concerts and sports games. One-time events are associated with 1 preset date, so that users cannot order outside the event date.
You can set up different pickup/delivery time-slots in case orders can only be ordered during specific times during an event. For example, if you only want customers to order before and after said event.
To set up time slots - make sure to select the Cutoff Time/Delivery Time.
If your guest can order any time throughout the event - make sure to select the Start Time/End Time.
Setting up One-Time Events
- Go to Brands & Locations
- Search for your location
- Select Edit Delivery areas
- Go to Outpost Delivery Points
- Select Add Delivery point
- Enter guest prompt (ex. Select Event)
- Select Type “One-time Event”
- Enter Name of event (ex. Summer Concert)
- Enter Operator code (ex. SC, this will only be visible to operations)
- Add Level 2 - this is required
- The second level can be a delivery/pickup point at the event OR a time period for pickup. In this example we will use “Pre-Show” and “After-Show” for the second level.
- Once you have added your second levels, you can ADD TIME. This will control the delivery/pickup times. In this example we will use Cutoff & Delivery time.
- Cutoff time = 5:00pm, Delivery time = 7:00pm
Start time/End-time vs. Cutoff/Delivery time
Start time/End-time
The start time/end time setup will be treated similar to regular pickup time selection. The user will be able to place an order between the Start-time and End-time. The start-time/end-time set up will allow users to select a pickup time using lead time and time intervals.
For example, if:
- Start-time = 9am
- End-time = 12pm
- Time interval = 5 (minutes)
- Lead time = 15min
The user can place an order for 9:15am, 9:20am, 9:25am etc.
If the delivery point is set up with start time and end time , we have the lead time to consider. We return the earliest available lead time.
Cutoff/Delivery time
Cut Off time/Delivery time is what we used for the original time-slot ordering functionality. It enables operators to have specific delivery times for customers to select from. Each delivery time also has a cutoff time, to ensure there is enough time to process and prepare order in time for delivery.
For example, if:
- Cutoff time: 10:00am
- Delivery time: 11:00am
Customers would be able to order for 11:00am delivery, before 10am. After the 10:00am cutoff time, they will have to select a later delivery time.
- The start time is the first available pickup time users can select
- The end time is the last available pickup time users can select
- When you order 1 hour before pickup time, the first available pickup time will be the start time, the order will be only be fired within lead time (let’s say 15 minute) before the start time
- For example, if the lead time is 15 min, and the user selects 7:00pm pickup time, the order will fire at 6:45pm
FAQ
1. How do the Lead Time settings work?
- The lead time is essentially the prep time for each order. If it takes you 15 minutes to prepare an order, the lead time should be set to 15 minutes.
- The lead time controls when orders will fire to the POS, so if a user orders for 7:00pm, the order will fire at 6:45pm
2. What is the impact when the order is ‘Fired’?
- When the order is fired, it is sent to the POS and printed for the kitchen to begin preparing the order
3. We observed the pick up times are set at 7 minutes intervals. How are these intervals set up?
- Intervals are set up in the location settings.
- Go to Brands & Locations > Edit Location > Settings > Mobile > TimeIntervals > Set the value to however many minutes you would like the time interval to be
- If you set it to 5 min, users will be able to select pickup times for 7:05pm, 7:10pm, 7:15pm etc.
As you can see in the example above, the TimeIntervals is set to 7 minutes
User can select a pickup time every 7 minutes.
4. What is the impact of the settings when we order one hr before Start or Cutoff time?
- If a user orders 1 hour before the start-time, the first available time for pickup/delivery will be the start time.
- If a user orders 1 hour before the cutoff time, the first available time for pickup/delivery will be the delivery time
5. What is the impact of the settings when we order 3 days before Start or Cutoff time?
- If the AdvancedPreOrderDays setting is set to 3 days or greater, users can order 3 days in advance (as shown above)
- When a user orders 3 days in advance, they will be able to order for the date of the event within the Start time and End time (ie. between 7:00pm-10:00pm)
- Users will be able to select any time between start time/end time with the time interval applied. If the TimeIntervals setting value is 5 minutes, users can order for 7:05pm, 7:10pm, 7:15pm etc.
6. How do you control how far in advance customers can order?
The AdvancedPreorderDays restaurant setting will control how many days in advance users can order. So if the value is set to 4, users can order up to 4 days in advance.
The available pick up times will be controlled by the Start Time and End Time.
